eCert Notification email process for open Certification Periods (Quarter and Semesters)

Below is the progression of eCert email notifications sent out by the eCert administrators prior to the opening of the eCert period(s) and during the actual 30-day effort certification period(s). The intent of these emails is to notify eCert users of the upcoming important effort certification dates/ deadlines. The following schedule of notifications is applicable to all eCert periods going forward.

14 day notice to Preparers to begin Processing Payroll Expense Transfers (PET’s)

  • 14 day period for Preparers to create & process PET’s so they may be included in eCert creation process
  • Sent to All Preparers only

7 day “advance” Notification to Preparers and Reviewers of upcoming eCert period opening

  • Any pending PET’s not finalized during this period will be cancelled upon the eCert document creation process
  • Sent to Cert Preparers and Reviewers

30 day email notification to Certifiers, Preparers and Reviewers (eCert Edocs are created & eCert Period Begins)

  • All incomplete PET’s have now been cancelled & must be recreated & processed in the eCert System
  • Sent to All eCert users (Reviewers, PI’s, and Preparers)

15 Day email reminder to Certifiers and Preparers

  • Sent to all eCert PI’s, and Preparers with incomplete certifications

7 Day remaining email reminder to Certifiers and Preparers

  • Sent to all eCert PI’s, and Preparers with incomplete certifications

Deadline Notification Email

  • eCert Period Closing and last day to complete eCert certifications before account freezing.  All effort certifications due today

Account Freeze (Day after Deadline)

  • Accounts are now frozen and will remain frozen until all certifications related to the specific frozen account(s) have been certified
  • Additional follow-up emails may be sent to Reviewers and Certifiers with past due certifications
  • Reactivation of frozen accounts may take up to 24 hours
