Checks
The Bank Reconciliations department is responsible for reconciling and archiving all university-issued checks. This includes managing requests for copies of checks, in coordination with other departments and systems.
Check Status
Before submitting a request, determine the check’s status:
- Uncashed checks may be eligible for reissue or cancellation.
- Cashed checks are eligible for copy requests only.
How to Check Status:
- To determine the status of a Disbursement Control check, refer to USC Business Services.
- To determine the status of a payroll check, contact your departmental HR partner/payroll analyst.
Check Reissue
Bank Reconciliations do not directly reissue checks. Follow these steps:
- Disbursement Control checks: Use the “Check Cancel and Reissue Form” in the Business Forms Dashboard within the Workday Financial System.
- Note: If a check requires correction (amount or payee name), it must first be cancelled, and a new payment request must be submitted via Workday.
- Payroll checks: Contact your HR/payroll analyst.
Avoid Expiration:
- USC employees are encouraged to enroll in direct deposit via Workday (for payroll) or Payment Services (for Disbursement Control) to prevent check expiration.
Check Cancellation
Bank Reconciliations do not process check cancellations directly.
- Disbursement Control checks: Submit the “Check Cancellation Only Form” via the Business Forms Dashboard in Workday.
- Payroll checks: Contact your HR/payroll analyst.
Check Copies
USC employees may request a copy of a university-issued cashed check.
- Complete the Request Check Copy Form.
- Allow up to five business days for processing.
