USC Policies in Egencia
Business and First Class Travel (Unrestricted Accounts)
When a traveler self-registers in ECT, his/her profile defaults to economy class. Those authorized to travel first or business class must contact Travel Management Services and provide evidence of first or business authorization:
- Dean or VP signature on Blanket Internal Requisition
- Dean or VP signature on a memo
- Medical Condition (e.g. Doctor's note)
Once first and business class authorization is provided to Travel Management Services, the traveler's profile will be updated (within 2 business days) to permit business and/or first class travel.
Travelers who have not been set up for business and first class authorization will not be able to complete their ECT booking other than in economy class.
Compliance with Economy Class Travel (Sponsored Project Accounts)
If traveling on a sponsored project account, travel must be in economy class, even if the traveler has been authorized business and first class (see above).
Compliance with Fly America Act (Sponsored Project Accounts)
All sponsored project account travelers must be in compliance with the Fly America Act. This Act requires use of a U.S. Flagship carrier or a foreign carrier that operates as a code share using the U.S. Flagship carrier's flight number.
ECT is not able to detect Fly America compliance at this time. Therefore, international travelers using ECT need to be aware of the ACT before purchasing.
USC Expenditure Manual
All ECT purchases must be in compliance with USC's Expenditure Manual.
